Invite members and set roles
For: Hangar admins
adminRampMates accounts are invite-only: a hangar admin invites each person by email. Everyone in your hangar is listed on Hangar settings > Members, with their role and which aircraft they may fly.
Invite someone
Section titled “Invite someone”- Open Hangar settings and choose the Members tab. On a phone, press More, then Hangar settings.
- Under Invite someone, type their email address.
- Select a Role: admin, pilot or mechanic. It starts on pilot, and the line under the form says what the selected role can do.
- Press Send invite. Invite sent to … confirms it went out.

They get an email, You’re invited to Hangar: … on RampMates. The link in it works for 7 days.
- Someone new to RampMates presses Set up your account, may add a display name, chooses a password and presses Create account.
- Someone who already has a RampMates account – from another hangar, say – presses Existing account? Sign in to accept, types the password they already use and presses Create account. Your hangar is added to the account they have; they don’t get a second one.
They appear in your member list once they’ve accepted. An invite that hasn’t been used isn’t listed anywhere.
New members may fly every aircraft in the hangar. To limit that, see Choose who can fly which aircraft.
The three roles
Section titled “The three roles”The line under the Role menu describes each one:
| Role | What the form says |
|---|---|
| admin | Everything a pilot can do, plus the aircraft, members and settings. |
| pilot | Fly and log: flights, fuel, squawks, maintenance. |
| mechanic | Maintenance, squawks and inspections — but not logging flight time. |
A person’s role is per hangar: the same person can be an admin in one hangar and a pilot in another. See Roles for the full picture.
Change someone’s role
Section titled “Change someone’s role”Press ⋯ at the end of their row and select Change role → admin, Change role → pilot or Change role → mechanic (the menu offers the two roles they don’t have). It takes effect straight away; there’s no confirmation.
Deactivate someone who has left
Section titled “Deactivate someone who has left”Press ⋯ on their row and select Deactivate. Their row stays in the list, marked Deactivated, and the hangar disappears from their account: they can’t open its aircraft, its schedule or anything else in it. Their flights, squawks and other records stay exactly as they were.
To bring them back, press ⋯ and select Reactivate. Don’t send a new invite – RampMates refuses it (see below).
You can’t deactivate yourself: your own row, marked You, has no Deactivate.
If something goes wrong
Section titled “If something goes wrong”- “… is already in this hangar” – they’re a member already. Nothing to send.
- “… has a deactivated membership in this hangar – reactivate it instead” – press ⋯ on their row and select Reactivate.
- “… is disabled – ask the platform admin to re-enable it” – RampMates has turned that account off, so they couldn’t sign in to accept. Contact RampMates support.
- “A hangar needs at least one admin” – you tried to take the admin role away from the hangar’s only active admin. Make someone else an admin first.
- “Could not send invite email: …” – the invite didn’t go out. Try again, and contact RampMates support if it keeps happening.
- The person says the link doesn’t work. “Token has expired” means the 7-day window has passed: send a new invite. “This invite has already been used” means they already joined – they can just sign in. If the email never arrived, see I didn’t get an email.
- “That email already has a RampMates account – sign in with its password to accept” – they typed a new password on the invite page. They need the password of the account they already have.
