Your bookings in your calendar
For: Pilots · Hangar admins
pilotadminThere are two ways to get your bookings into your own calendar: the invitation in each confirmation email, or a calendar link you set up once.
The confirmation email
Section titled “The confirmation email”When a booking of yours is made, changed or canceled, by you or by anyone else, RampMates emails you. The email carries the booking as a calendar invitation, so most mail apps offer to add it to your calendar.
- A change updates the same calendar entry, and a cancellation removes it.
- If your mail app puts the invitation somewhere you don’t use, the email has two links: Apple Calendar downloads the event for whatever calendar app your device opens it in, and Google Calendar opens it in Google Calendar.
- Open the schedule takes you to the day of the booking.
- A repeating booking sends one email with every date attached.
Two kinds of booking don’t send a confirmation: one made by type (such as Any C172) and one standby makes for you. The calendar link below still picks them up once they’re on a particular aircraft.
To stop these emails, turn off Booking confirmations under Scheduling in Notifications.
Subscribe once instead
Section titled “Subscribe once instead”A calendar link puts every booking of yours, in every hangar you belong to, into your calendar app, and keeps it up to date as bookings move or are canceled.
- Open Notifications (on a phone, it’s under More).
- Under Your bookings in your own calendar, press Create my calendar link.
- On the device whose calendar you use, press Subscribe on this device. To set up another device, press Copy link and add the link as a subscription in that device’s calendar app.
- Press Done.

The link is shown only once. It shows only your own bookings, but anyone who has the link can see them, so keep it to yourself.
Lost it, or shared it by mistake? Press New link; the old one stops working. Turn off stops the link altogether.
One booking
Section titled “One booking”On a computer, double-click a booking on the schedule and press Add to calendar to download just that booking.
If something goes wrong
Section titled “If something goes wrong”- No email arrived. See I’m not getting emails.
- “This calendar link isn’t valid any more” when you press Apple Calendar in an old email: that link has expired. “Reservation not found” means the booking was canceled. For a live booking, use the invitation itself, or double-click the booking on the schedule and press Add to calendar.
- The calendar stopped updating. The link was replaced with New link or turned off. Subscribe again with a new one.
